Refunds and Transfers

We understand, plans change and injuries prevent you from competing. Here’s what you need to know if you need to withdraw and request a refund, change event distance or transfer your entry to another participant.

Refunds

If you wish to withdraw from your event, please notify us as soon as possible.  Your refund amount will be allocated based on the date of notification.

All requests must be received in writing via email to registrations@lonelymountainultra.com.au.

Refund tiers
  • 75% of entry fee –  up to 8 weeks before the event (before Saturday 1/08/2026)
  • 50% of entry fee – 4-8 weeks prior to event (between Sunday 2/08/2026 and Saturday 29/08/2026)
  • 25% of entry fee – 1-4 weeks prior to event (between Sunday 30/08/2026 and Saturday 19/09/2026)
  • 0% of entry fee – 0-7 days prior to event (from Sunday 20/09/2026)

Please allow up to 14 days for your refund to be processed.

Non-refundable items
  • Merchandise cannot be refunded, as these items are pre-ordered specifically for participants. If you are unable to attend, you may nominate another person to collect on your behalf. Uncollected merchandise may be posted after the event at the participants expense. Participants will be contacted with postage costs and payment details. If payment is not received by the stated deadline, the merchandise will be forfeited and no further claims will be accepted.
  • Camping will not be refunded if you do not attend.
Early bird shirt eligibility
  • Complimentary event shirts are provided only to participants who retain their original early bird distance. If there is any distance change, refund request, or cancellation, the early bird shirt is forfeited.
Child Welcome

To promote family inclusive participation in trail running we support athletes who are pregnant, using surrogacy, adopting or pursuing Medically Assisted Reproduction (MAR), along with their partners.

Athletes will qualify for a full refund less a $30.00 administration fee if they meet one of the following criteria and provide proof at least 48 hours prior to race day.

  • Pregnant athletes (proof of pregnancy required)
  • Athletes pursuing Medically Assisted Reproduction (MAR) (proof of MAR required)
  • Athletes with a pregnant partner with a due date within 3 months before or after the race (proof of pregnancy + proof of relationship/residence is required).
  • Athletes adopting a child or birthing via surrogacy (adoption or birth certificate dated within 6 months before the race).

All requests must be received in writing via email registrations@lonelymountainultra.com.au.

Transfers

Changing Event Distance

You can request to transfer your entry to a lesser or greater distance until such time as that distance is sold out. Here’s how:

  • From the Event Page, click on the ‘Transfer’ button in the top right of the screen
  • Login with the same details you used to register for the event
  • Click on ‘Transfer to a new sub-event’
  • Select the new distance you wish to compete in and click ‘Start Transfer’
Important notes:
  • Upgrading to a longer distance: You’ll only pay the difference between what you originally paid and the new distance fee.
  • Switching to a shorter distance: No refund applies.
  • Capacity restrictions, all transfer requests are subject to availability.

Transferring your entry to someone else

If you’re no longer able to make it and wish to transfer your entry to a new participant, follow these steps:

  • From the Event Page, click on the ‘Transfer’ button in the top right of the screen
  • Login with the same details you used to register for the event
  • Click on ‘Transfer to a new participant’
  • Enter the email address of the new participant
  • Once you initiate this transfer, the new participant will receive an email with a link to complete the transfer
  • The new participant will need to pay a $30 transfer fee to complete the registration transfer
  • Capacity restrictions, all transfer requests are subject to availability.

Deferrals

We do NOT offer deferrals to next year. Please request a refund if you are unable to participate.

 

Full event cancellation

  • We reserve the right to cancel or delay the event due to severe weather or other extreme circumstances.
  • In such a case, we will provide a new date or offer the right for participants to request a refund.  The amount refunded will be reduced by an amount to cover costs already incurred for the event at that point in time.
